What we collect when you book with us, why, and how it's handled — in plain language.

Travel Ceylon Tours is the trading name of BWK Travels (Pvt) Ltd, a registered Sri Lankan company at 321/A, 02, Batepola, Dunagaha 11264, Sri Lanka ("we", "us", "our"). This policy explains what information we collect through travelceylontours.com and through WhatsApp, phone and email when you enquire about or book an airport transfer or tour, how we use it, and who we share it with.
Information we collect
We collect information in three ways:
- Information you give us directly — your name, phone/WhatsApp number, email address, flight details, pickup and drop-off locations, number of passengers, and any special requests (such as child seats), when you request a quote or make a booking.
- Payment information — if you pay online, your payment is processed directly by our payment providers, PayHere (Pvt) Ltd and PayPal. We do not see or store your full card number, CVV or online banking credentials; those are handled entirely by the payment provider under their own security standards (PayHere is PCI-DSS compliant; PayPal is a PayPal-regulated transaction). We receive only confirmation that a payment was made, the amount, and a transaction reference.
- Information collected automatically — when you visit our website, we use Google Analytics and Google Tag Manager to collect standard usage data (pages viewed, approximate location by country/city, device type, and how you arrived at the site) to understand how the site is used and to improve it. This data is aggregated and is not used to identify you personally.
How we use your information
- To prepare quotes, confirm bookings, and arrange your driver, vehicle and itinerary
- To contact you about your booking — flight tracking, driver details, and any changes
- To process payment and keep the accounting records BWK Travels (Pvt) Ltd is legally required to keep
- To respond to questions sent via WhatsApp, email or our contact form
- To understand how our website is used, so we can improve it
- To meet our legal and regulatory obligations in Sri Lanka
We do not use your information for automated decision-making, and we do not sell your personal information to anyone.
Who we share it with
We share information only where it's needed to deliver the service you've booked, or where the law requires it:
- Your driver/chauffeur guide — your name, flight details, pickup location and phone/WhatsApp number, so they can meet you.
- Payment processors — PayHere and PayPal, to process an online payment you choose to make.
- Analytics providers — Google (Analytics and Tag Manager), to measure website usage, as described above.
- Authorities — if required by Sri Lankan law, for example in response to a lawful request from a regulator or court.
We do not share your information with any other third party for their own marketing purposes.
How long we keep it
We keep booking and payment records for as long as Sri Lankan accounting and tax law requires (typically several years), and enquiry details for as long as is useful to assist you with a current or future trip, after which we delete or anonymise them.
Cookies
Our website uses a small number of cookies set by Google Analytics and Google Tag Manager to recognise repeat visits and measure site usage. These do not identify you by name. You can block or delete cookies at any time through your browser settings; the site will continue to work without them.
Your rights
You can ask us at any time to:
- Tell you what information we hold about you
- Correct information that is wrong or out of date
- Delete your information, once there is no outstanding booking or legal reason for us to keep it

Children's privacy
We don't knowingly collect information directly from children. Where a booking includes children travelling with an adult, we only collect the minimal detail needed to fit the correct child seat (such as age range), provided to us by the adult making the booking.
Security
We take reasonable technical and organisational steps to protect the information we hold. No online payment or data transmission is ever completely risk-free, which is why we route payment details through established, regulated processors (PayHere, PayPal) rather than handling card data ourselves.
Refunds and payment records
If you request a refund, we use your booking reference, payment reference and contact details only to process it with PayHere or PayPal, as described in our Refund Policy.
Changes to this policy
We may update this policy from time to time, for example as our services or the law change. The date at the top shows when it was last revised. Material changes will be reflected here before they take effect.
